Terms & Conditions for Breakfast Club (BC) & Afterschool Club (ASP) 2023-4
Higham Primary School aims to create a safe, positive, happy and active environment at the Breakfast and Afterschool Club Provision. We want children to feel relaxed and safe, to be able to play, be active and make friends with children in other year groups, and have fun in a well-supervised environment. We welcome and appreciate all feedback from children and parents about their experience with the clubs and are always keen to hear suggestions about how to improve so please feel free to get in touch!
Breakfast Club
Breakfast club starts at 8am term time and children can be dropped off from then. The choice of breakfast may vary from day to day but will consist of healthy options, usually include the following: cereals, toast, crumpets, fruit, milk, fruit juice or water. Breakfast club staff will supervise a variety of indoor and outdoor activities to occupy the children until the start of school.
We aim to provide a high-quality service which meets the needs of both parents/carers and children. For parents/carers, this means knowing that your child is safe and happy in a club that is reliable and offers a consistent service. Higham Primary School will ensure that appropriate standards of behaviour, discipline and hygiene are maintained.
Activities
Children will have a variety of activities on offer each morning. There will be a selection of art activities, plenty of toys (Lego, play kitchen, train set, toy cars etc) and games, indoor and outdoor football tables, access to the outdoor area for active play (unless it is raining) and a selection of reading books. Children will be encouraged to get out in the fresh air and be active whenever possible.
Registration
Please ensure that you have completed a registration form if your child is new to either clubs. The registration form will give staff details on any medical needs, dietary requirements and emergency contact numbers (breakfast club staff will also have phone contact with the school office, should they need it). All sessions must be pre-booked and paid for two weeks in advance.
Booking Please email office@higham.kent.sch.uk to make a booking. Parents will then be contacted to confirm bookings or to advise if places are not available. Places must be booked and paid for 2 weeks in advance to allow the correct number of staff to be on duty for the number of children attending the club.
Payment of Fees and Cancellation
Breakfast club is £6 per child per session, with a £1 discount for each further sibling (£6 1 child, £10 2 siblings, £15 for 3 siblings etc). Payments can be made online into the school bank account:

No refunds will be given for non-attendance due to sickness or any other absence for sessions only partly attended.
Higham Primary School requires two weeks written/emailed notice if you no longer require a place for your child at Breakfast Club or wish to make any changes to the days attended. Any changes will be subject to agreement by Higham Primary School Breakfast Club and will be subject to availability.
Charges will be made for the booked sessions within the notice period whether or not the child attends.
A child will leave Higham Primary School Breakfast Club when he/she leaves Higham Primary School.
Sometimes Higham Primary School is able to offer ad-hoc sessions. These must be paid for at the time of applying for a place. The payment is non-refundable in the event of non-attendance due to sickness or any other reason or for sessions only partly attended.
No partial refund will be given if a child attends too late to receive breakfast or does not require breakfast. Breakfast will be served until 8.20am and children arriving after this time will not be offered breakfast at the club.
In the event of school closure, for example due to bad weather, a full refund will be given against the next term’s fees.
General Conditions
A child must not be brought to Higham Primary School Breakfast Club if unwell.
Children should be brought to the door by parents/carers and received by a member of staff to ensure that they have arrived safely. The BC door is between the two sets of gates at the front of the school, down a little alley to double doors. Please do not drop your child off and leave without ensuring a member of staff has received them.
It is the responsibility of the parent/carer to bring their child into Breakfast Club. Absent children will only be followed up from the school’s class registers at the beginning of the school day in accordance with our normal school procedures.
Any changes to special dietary requirements must be notified to the school office.
Staff will ensure that an accident form is completed for all accidents or situations where a child gets hurt and needs medical attention. A copy will be given to the parent/carer and a copy kept in the ASP/BC folder so it can be added to the main Accident Folder in the office. Parents/carers will also be verbally told about any head injuries or more serious injuries so they are aware to monitor their child when they get home. ASP & BC staff are all first aid trained and pediatric first aid trained staff are Lou Munn & Shaun Walton. Staff will use their own judgement to decide if a parent/carer needs to be notified immediately by phone using the contact details provided and our normal school procedures for notifying parents in the event of accidents will be followed. Should the need arise, the parents/carers hereby give their consent for first aid to be administered and or the emergency services to be contacted.
Higham Primary School will not be liable for loss of property brought onto the premises by parent/carers or child.
The parents/carers hereby confirm that they accept the authority of the Breakfast Club Manager and staff to take all reasonable disciplinary or preventative action necessary to safeguard and promote the welfare of each child and the Higham Primary School Breakfast Club community. Parents may be required to remove the child temporarily or permanently if the conduct of the child is unacceptable and it appears to the supervisor that the continued presence of the child is incompatible with the interests of Higham Primary School Breakfast Club. There will not be a refund of fees in these circumstances.
After School Provision
After School Provision will run Monday to Friday from 3.15pm to 5.45pm, during term times. It will not operate in school holidays or on INSET Days. At 3.20pm juniors will make their own way to the ASP room and will be registered by the member of staff on duty on arrival. The infants are collected from their classrooms at 3.15pm.
The choice of snack will vary from day to day but will be healthy and include the following: sandwiches, bagels, crumpets, fresh fruit, milk, fruit juice or water.

There will be a selection of art activities and projects (some independent and others led by staff), plenty of toys (Lego, play kitchen, train set, toy cars etc) and games, indoor and outdoor football tables, access to the outdoor area for active play (unless it is raining) and a selection of reading books. Children will be encouraged to get out in the fresh air and will be taken onto the school field, tyre park or playground whenever possible for a good run around, with balls, hoops, stilts, skipping ropes and other resources to play with. At some sessions, children will be allowed to play on the X-Box although time on the X-Box will be limited to 10 minutes per child per session. Children will be encouraged to read with staff so please ensure children have their class reading book and reading record in their school bag.
Registration
Only children who have a completed registration form and whose place has been paid for, whether regular or ad hoc attendance, may attend Higham Primary School ASP. The registration form will give staff details on any medical needs, dietary requirements and emergency contact numbers and details of the password and adults permitted to collect your child. Please make sure that the school office is notified if there are any changes to these details. All sessions must be pre-booked and paid for two weeks in advance. A child will no longer be registered with our service if they have not attended a session for one academic year.
Booking
On receipt of the booking email to office@higham.kent.sch.uk and payment to the school bank, parents will be contacted to confirm the booking or to advise if spaces are not available. If bookings have not been confirmed, please contact the office. Places must be booked and
paid for 2 weeks in advance to allow the correct number of staff to be on duty for the number of children attending the club.

ASP is £7 per session for the first hour (with £1 discount for each further sibling e.g. 2 siblings £12, 3 children £18 etc.) or £12 per session longer than the hour (with £1 discount for each further siblings eg. 2 siblings £22, 3 siblings £33 etc.). The first hour is until 4:10pm for Key Stage 1 (Year R, 1 & 2) and 4:20pm for Key Stage 2 (Year 3, 4, 5 & 6). For families with children in both KS1 & 2 the 1-hour session will end at 4:20pm. Children collected more than 5 minutes after the hour slot will be charged for the full session. Payment can be made online into the school bank account:

Non-Arrivals & Children Walking Home
If parents/carers have given Key Stage 2 child permission to walk home and they are on the list of children who can walk home alone, it is parents/carers responsibility to ensure that the child knows they should be attending ASP or walking home each day. Staff will try to remind children at the end of the day but this is a very busy time and could be missed. Attendance registers will be taken by ASP staff before 3:30pm each session and the office will be notified about any children who are booked in but have not arrived. Parents/carers will then be contacted. Please let the office know if there are any changes or last-minute cancellations to sessions so staff are aware of any changes to the registers each day.
General Conditions
It is the responsibility of the parents/carer to collect their children by 5.45pm. The ASP door is between the two sets of gates at the front of the school, down a little alley to double doors. If a parent is late collecting their child for any amount of time past 5:45pm a £10.00 late fee will be charged to cover additional staff overtime fees. If parents are running late, they should ring the school on 01474 822 535 (select ASP option if after 4:50pm) or 07377 960 594 and let us know approximate arrival time. If a child has not been collected by 5:55pm, staff will call the contact numbers given on the registration form. If all attempts to contact designated
adults able to collect the child have failed, the Designated Safeguarding Lead for the school would be contacted to advise on how to proceed further. The Designated Safeguarding Leads for the school are Mrs Grattan, Mrs Levy, Mrs Driscoll and Mrs Dunn.
